1. Who we are

Office Clean is the trading name of Anna Clean MK Ltd, a company registered in England and Wales, company number 15883807. Registered office: Settlands Salden Lane, Little Horwood, Milton Keynes, MK17 0PN.

We provide commercial office cleaning services in Milton Keynes and the surrounding area. This policy covers the personal data we collect through www.office-clean.co.uk.

2. What we collect

When you request a quote through the website, we collect:

  • Full name
  • Company name
  • Email address
  • Approximate office size or staff numbers
  • Any details you enter about your cleaning requirements

We don't collect payment details through the website.

We also use Google Analytics and the Meta Pixel, which collect data automatically from anyone browsing the site, not just people who submit the quote form. This includes pages viewed, approximate location (derived from IP address), device and browser type, referral source, and, for the Meta Pixel, identifiers used to measure and target Facebook and Instagram ads.

If you become a client, your invoicing and payment details are held in FreeAgent, our accounting software.

3. Why we collect it

We use this data to respond to your enquiry and provide a quote. This is either a legitimate business interest or a necessary step before entering a contract with you, under UK GDPR Article 6(1)(f) and 6(1)(b).

4. Where it's stored

Quote requests are stored in a Supabase database hosted in the EU (Ireland). Supabase acts as our data processor under its standard data processing terms.

5. Who we share it with

We don't sell or rent your data. It may be shared with:

  • Supabase (database hosting)
  • Google (Google Analytics, to measure site traffic and performance)
  • Meta (Meta Pixel, to measure and target Facebook and Instagram ads)
  • FreeAgent (accounting software, for invoicing and financial record keeping once you become a client)

6. How long we keep it

If you request a quote but don't become a client, we keep your enquiry data for 12 months from your last contact with us. There's no fixed legal retention period for this category, UK GDPR simply requires we don't keep personal data longer than we need it, and 12 months is a reasonable window to reopen a stalled conversation without holding data indefinitely.

If you become a client, your contract and invoicing records are kept for 6 years from the end of the relevant financial year, in line with the record-keeping requirements of the Companies Act 2006 and HMRC's rules for Corporation Tax and VAT records.

Analytics data collected through Google Analytics is retained according to Google's default settings [PLACEHOLDER: confirm your GA4 data retention setting, found under Admin > Data Settings > Data Retention, default is 2 months or 14 months].

7. Your rights

Under UK GDPR you can ask us to:

  • Show you the data we hold about you
  • Correct anything inaccurate
  • Delete your data
  • Restrict or object to how we use it
  • Give you a portable copy

You can also complain to the Information Commissioner's Office at ico.org.uk if you think we've handled your data incorrectly.

8. Cookies

This site uses:

  • Strictly necessary cookies, which keep the site working and can't be switched off.
  • Google Analytics cookies, which measure how visitors use the site so we can improve it.
  • Meta Pixel cookies, which measure and help target our Facebook and Instagram advertising.

The analytics and advertising cookies are not strictly necessary, so under UK PECR rules they only load after you've given consent. This site has a cookie banner in place that blocks Google Analytics and Meta Pixel until you accept.
